Volunteer Positions


TCKC is an all-volunteer organization. Club members volunteer or are elected to fulfill positions and duties for the club. The duties/positions are as follows:

 

Board Members: elected officials who organize the club, and ensure that the business of the club is run smoothly. They are available to members and non-members at all races.

 

Track Maintenance: The track is maintained year round. It takes three volunteers to water, sweep and otherwise keep the track in racing condition each week, rain or shine, race or no race. Each volunteer donates approximately 30 hours of time per week for track maintenance during the racing season; slightly less time and volunteers are required during the off season.

 

Track Maintenance (race day): Early in the morning, volunteers water, sweep and otherwise prepare the track for racing, including interim preparation between races. This takes 1 or 2 volunteers and requires approximately 3 hours worth of work on race day, including interim sweeps or watering.

 

Track Set Up for Race Day: Volunteers set the track for race day either the day before the races or early the morning of the races. This includes, but is not limited to, ensuring that all buildings and facilities are in working order (i.e., the A/C and lights work in the scorekeepers building, the lights work for the track), setting up parameter dividers to ensure the safety and division of spectators and karts, setting out trash cans for the pit crews, hanging banners and signs, setting up scales and scaler’s area, setting up pea pick area, supervising the setting up of the portable bathrooms, cleaning the registration are, setting the race track with cones and other safety equipment and various other tasks. This set up requires multiple volunteers and takes approximately 4 hours.

 

Track Clean Up: Track cleanup is done immediately after the races and requires mltiple volunteers. It includes, but is not limited to, shutting off all electrical equipment, putting away all dividers, trash cans, banners/signs, scales, track cones/safety equipment and miscellaneous tables.  This takes approximately 1.5 hours.

 

Exit Gate: One volunteer to open and close the exit gate after the completion of each class’ practice, heat or main. This position lasts the entire race time, from first practice to last main event.

 

Entrance Gate/Grid: One volunteer to open the gate at the beginning of each class’ practice, heat or main. In addition, this person maintains the grid board, which lists the running order of the races and the drivers. This position lasts the entire race time, from first practice to last main event.

 

Pea Pick: One volunteer to run the pea pick. Prior to the races, this person creates a sheet with all the classes TCKC runs. At pea pick, this person sits at the pea pick table, and records all the driver’s picks. When pea pick closes, the volunteer uses the pea pick sheet to determine the running order of the races and participants, according to our pea pick rules. This postion takes approximately 1/2 hour prior to race day, with 3 hours of work on race day.

 

Scorekeepers: Two volunteers. These volunteers score all races, heat and main. They are responsible for determining start and restart position and communicating same to flag man. Between first heat and second heat, the scorekeepers invert the pea picks and determine the running order of the second heat. Between second heat and main, they total scores and determine running order of participants in the main events. This position starts with the first heat race and ends after the last main event. This requires special training.

 

Registration: One volunteer. This person registers all entrants, crew pit members, and spectators on race day. This person collects all monies for racing and pit fees, in addition to enrolling members and collecting membership fees. In addition to sititng in the registration booth all day on race day, this person tallies up the monies, balances the books, and fills out all paperwork for the insurance in the event of an accident. This person also maintains the track insurance and in most cases also acts as the club treasurer. Track time for this volunteer is approximately 10 hours of work, with 5 hours of other work per week.

 

Web Master: This person is responsible for updating all track events on the web, including scores, videos, race dates and other TCKC events, photos, classified ads, etc. This person also answers all web-based inquires for TCKC. This takes approximately 2 hours per week on season, with an additional 2 hours for scoring after race days and 1 hour per week during the off-season.

 

Flagman: One volunteer. This person is reposible for the main flagging of all races and practices. This person works on race days from time of first practice until the last main event.

 

Corner Flaggers: In the event we have permanent flaggers, two volunteers flag at the north and south corners of the track. They work from the time of the first practice until the last main event. If we do not have permanent flaggers, these positions are filled in accordance with club rules which state that the corner flaggers are pit crew members from the pole and off-pole karts for that race and last approximately the length of one race per class (usually no more than 10 minutes).

 

Scales: One or two volunteers. These volunteers verify weight for each kart racing that day. In the event a kart doesn’t make weight, these volunteers will note it and give it to the web master for use when scoring the event. This positon lasts from start of first heat to end of last main.

 

Video: this person takes video of all heats and main for all classes. They then transfer the video to the TCKC youtube account and notify web master so he/she can pull a video to feature on our site. They maintain the youtube account, including monitoring comments. This position lasts from the time of the first heat through the end of the last main. It also requires an additional two days of work after a race to make the videos and post them and 1 hour per week to maintain the site.

 

Race Director: This volunteer works with the board to ensure that the race day runs smoothly. The race director watches all races and works closely with the flagman to ensure that all rules and guidelines are adhered to. In addition the race director handles all disputes, inquiries and protests.
